Who we are. Orixial is a trading name of Apercu (Pty) Ltd (registration 2023/950268/07), South Africa. The PinoGrotto and UPP brands run on the same system. The responsible party for your information is Apercu (Pty) Ltd. Our Information Officer is Branden Meintjes.

If you use this website

• No form, nothing stored. This website has no form. The "Email us" button opens an email in your own email app, filled in from your answers on the page. Nothing you type on the page is sent to us or kept by the site. If you send the email, it reaches our mailbox talk@orixial.com. Our system files it for a person to read, and a person replies. No machine answers you.
• Cookies and tracking. This site sets no cookies, stores nothing in your browser, and runs no analytics or advertising trackers. Every file comes from our own web host. No other company is contacted when you load a page.
• Server logs. Our web host, HostAfrica, in South Africa, records your IP address, browser type, the page and the time when you load a page, for security. We have asked HostAfrica in writing how long it keeps these records, and we will say so here when it answers.

If we have emailed you

• What we hold. Your name, business role, business email address, the company you work for, and a record of the emails between us.
• Where it came from. Business contact databases and public business sources. We record the source for each contact.
• Why. To offer a business service relevant to your role (B2B direct marketing, under POPIA section 69 and a legitimate-interest assessment), or to contact you on behalf of a client of ours.
• AI tools. We use AI tools to help decide whom to contact and to draft our emails. Those tools can see a company’s name, website address and public description, and sometimes a person’s name or the words of a reply. A person reads and answers every reply.
• Stopping our emails. Reply to any of our emails with “unsubscribe”, or with just “stop”, or use your mail program’s Unsubscribe button if it shows one. Our system reads these every 10 minutes and adds you to that brand's do-not-contact list; after that, that brand sends you nothing more. A person reads every other reply too, so if you ask in other words, we remove you by hand. Each brand keeps its own list, so to stop all of our brands at once, email us at the address above and say so.

If you are a client

We hold your contact details, our contract and correspondence, and the leads, replies and reports we produce for you. You own your lead lists, replies, meeting records and reports. When our agreement ends, we give you a full export.

Who else handles your information

• Our web host, HostAfrica, in South Africa (server logs only, as above).
• Our mailbox providers: PrimeForge (the mailboxes we and our clients send from) and Google, through ICEMAIL (our talk@ mailbox); and Instantly, our email warm-up service.
• Our contact-data provider (for finding business email addresses).
• Our email-checking service, Reoon Email Verifier, outside South Africa: before our first email to you, it checks that your business email address can receive mail. It sees only the address.
• A shared contact hub used by businesses that run the same outreach software as we do: we look business email addresses up there, and addresses we find are added to it, where those businesses can also find them.
• Our AI providers (as above).
• An encrypted backup store in the European Union.

Each of these handles it for us only, under contract, except the shared contact hub, which other businesses can also search. Our servers are in South Africa. The only transfers outside South Africa are to these providers, under POPIA section 72.

How long we keep it

We keep prospect contact data for up to 24 months after our last contact with you. If you ask us to stop contacting you, we keep only the entry on the do-not-contact list, so that we never contact you again. Emails you send us from this website are kept for 24 months as well.

Your rights

You may ask what information we hold about you, and ask us to correct or delete it. You may object to direct marketing at any time. We answer within 30 days, and we will ask you to prove who you are before we release personal information. To ask for records we hold, email us at the address above.
